The mistake most practice owners make is evaluating AI the way they'd evaluate software — running down a features checklist. But AI isn't built like software, and it can't be judged like it.
Software Is Binary. AI Is Not.
The first thing to understand is that traditional software is often deterministic, but AI is probabilistic — providing a spectrum of outcomes. That means "working" stops being a feature that passes a spec and becomes a range of behavior you have to evaluate. Get that, and the rest follows.
Start With the Team
You can't fully judge AI from a demo, so the people who built it are your best read on quality. You're really choosing a partner you'll depend on long after signing. Look for regulated-industry experience and builders who've shipped this kind of product before.
Ask How They Test It
This is where AI departs most from software — you can't just run it once and ship it. A serious vendor pressure-tests it across a huge range of scenarios. A vendor who can't walk you through their evaluations can't show you how the system holds up in the hard cases.
Buy the Workflow, Not the Feature
"Do you have a CRM?" is a software question. "Do you do referral management?" is an AI question — and behind it sits a chain of agents reading the fax, texting the patient, booking the visit, running intake. Buy a feature that fixes one step of a five-step process, and you'll wonder why nothing has changed.
Perfect Is the Wrong Bar
The instinct is to ask whether the AI is 100% accurate — but your front desk isn't either. The more useful measure is your staff: faster, cheaper, and at least as good, for the risk level of the task. Clear that bar and you free your best people for the work that grows the practice
